Position Summary
We’re looking for a Workplace Experience Lead to own and elevate the end-to-end workplace experience across our offices, anchored in Vancouver HQ.
This role is equal parts operational excellence and culture activation. You’ll ensure our office runs seamlessly day-to-day while designing intentional, inclusive in-office experiences that make people excited to come in.
You will partner with our San Diego and Dublin office teams to ensure each office delivers a consistent, high-quality experience that reflects our culture.
You are highly organized, service-oriented, financially disciplined, and proactive. You don’t just keep the lights on — you create an environment where people can do their best work.
This is a full-time, permanent position based at our Vancouver office, requiring on-site attendance five days a week.
What You’ll Be Doing:
Office Operations & Facilities
Own day-to-day Vancouver HQ operations
Partner with building management, security, and facilities vendors
Coordinate office maintenance, repairs, and space planning initiatives
Establish standards, playbooks, and processes to ensure a consistent workplace experience across all offices
Manage office budget, forecasting, and expense tracking
Negotiate and manage vendor contracts (cleaning, catering, security, supplies)
Ensure health & safety compliance and workplace standards
Maintain office systems that reduce reactive work and increase efficiency
Support cross-office planning, vendor strategy, and workplace best practice sharing
Conduct regular office walkthroughs to ensure kitchens, common areas, and meeting rooms are clean, stocked, and operational (including restocking, coffee refills, and general upkeep).
Employee Experience & Culture Activation
Design and execute in-office engagement initiatives
Own company-wide moments (celebrations, milestone events, holiday programming)
Partner with People Team and ERGs to support inclusive programming
Develop a consistent, thoughtful visitor experience
Ensure each office reflects our culture through thoughtful design, events, and employee touchpoints
Gather feedback and iterate on workplace programming
Provide regular reporting on budget, utilization, and engagement metrics
Support special projects related to workspace strategy or hybrid optimization
Partner with the People Team to operationalize and activate company values across offices
Onboarding & In-Office Experience
Partner with the People team to own and execute a smooth, engaging in-office onboarding experience that sets employees up for success from day one
Partner with IT on laptop provisioning, workspace setup, and access
Continuously refine onboarding touchpoints tied to the office
What You'll Bring:
5+ years of experience in Workplace Experience, Office Operations, or Facilities
Proven budget ownership and vendor negotiation experience
Strong project management skills
Experience planning company-wide events or culture initiatives
Ability to operate independently and make sound judgment calls
Excellent communication skills and high emotional intelligence
Comfortable balancing interruptions with strategic work
Experience supporting a hybrid workforce
